VACATION

If you are an Internal Medicine resident or a resident from another program who wants to take holidays during one of the below rotations please take note of the following regulations.  These regulations are in place to ensure that the faculty on the rotation know that you may be away and have adequate time to ensure coverage of the service during your vacation.

  • The PARA agreement states that any vacation shall be taken at a time that is mutually agreed to by the resident and the program director.  If a mutually agreed time cannot be identified the program director shall schedule the vacation period.  No resident shall be required to divide their vacation in more than 2 segments.

  • A vacation request form must be completed. Vacation must be requested two months prior to the  time desired as stated in the PGME policy.   These forms can be obtained in the department of medicine office.  You are responsible to have the form completed before your holiday.  Failure to complete the form may result in the holiday being denied.

  • The preceptor of the rotation during which you are taking the holiday must sign the form. DO NOT DROP THE FORM OFF AT THE DEPARTMENT OF MEDICINE OFFICE UNTIL YOU HAVE THE PRECEPTOR'S SIGNATURE. The professional way to ask for holidays is to talk to the preceptor directly instead of leaving a form for him/her to sign.  Once the form has been signed by the preceptor drop the form off at the department of medicine office.  The program director will then sign the form.  A copy of the completed form will be returned to you, the rotation preceptor, and your file (or your program director if you are not an IM residents).

  • Rotations may deny granting holidays if they are not given adequate advanced notice.  ICU, cardiology and MTU rotations require at least 2 months notice in advance of starting your rotation.

  • Holidays are not normally allowed on rotations of one block duration.

  • Holidays are not allowed for residents on the MTU, ICU, cardiology during block 7 (because of the scheduled Christmas and New Year's holidays).  Holidays are not allowed on the MTU when there are less than 4 junior residents.

  • Holidays are not allowed for residents rotating through the MTU as seniors (either emergency liaison or ward senior).  Junior residents can take a week off when rotating on the blue or green teams.

  • Though every effort is made to ensure that you get the corresponding weekends off (during a week of holiday) this is not always possible (especially on the MTU, CCU and ICU). Thus we cannot guarantee that both weekends will be included in the holiday request.

  • If more than one resident is requesting the same time off the person requesting the holiday first will have priority.

  • Holidays are not allowed for residents doing a remedial rotation or who are on a probationary period.

Advance notice
At least 2 months prior to starting the rotation during which vacation is requested, all residents must submit their request for vacation to both their home program director, and the director of the program who is responsible for the rotation. 

Approval
Before leaving on vacation, residents must have approval from both their home program director, and the director of the program who is responsible for the rotation during which vacation is requested. The signatures of both  program directors are required on the Calgary Health Regions ‘Vacation/ Conference Time Approval Form’.

Carrying Vacation Forward
Vacation is important to maintain physical, mental and emotional well being   and should be used in the year during which it is earned.  Under exceptional circumstances, residents may request a portion of vacation to be carried over into the next academic year.  Such requests must be approved in writing by the home program director during the year in which the vacation is earned.  Vacation can only be carried forward for one year.

In the final year of residency, all vacation (earned and carried over, if any) should be taken.  The Para Agreement (article 13.03) allows residents to be paid in lieu of unused vacation time.  However, this should occur in exceptional circumstances only and will require consultation between the program director and the Associate Dean, as well as approval by the PGME committee.
